Privacy Policy

AVIO Immigration (“the firm”) is committed to safeguarding personal information in accordance with the Personal Information Protection and Electronic Documents Act (“PIPEDA”), the Law Society of Ontario’s Rules and By-Laws, and other applicable privacy legislation.

1. Scope

This policy applies to AVIO Immigration (the “firm”) and governs the collection, use, disclosure, retention, and safeguarding of “personal information” (any information about an identifiable individual) in connection with the website avioimmigration.com, the Weekly Digest newsletter, client engagements, and all related professional activities.

2. Identifying Purposes

Personal information is collected only for the following purposes:

  • evaluating eligibility for Canadian immigration programmes;
  • providing legal advice and representation;
  • meeting regulatory, security, and professional-conduct obligations;
  • processing payments and managing trust funds;
  • sending the Weekly Digest or other commercial electronic messages (“CEMs”) with consent;
  • marketing legal services, subject to opt-out rights.

3. Consent

The firm obtains informed consent—written, electronic, or implied as permitted by law—before collecting, using, or disclosing personal information. Consent for CEMs is managed in accordance with Canada’s Anti-Spam Legislation (“CASL”); every email sent for marketing purposes contains an unsubscribe link that takes effect promptly.​

4. Limiting Collection

Only personal information reasonably necessary for the purposes listed above is collected, and only through fair and lawful means, including online forms, encrypted uploads, email, telephone, or direct receipt of documents. Cookies and other tracking technologies are not used. Social Insurance Numbers are collected solely when required by law.

5. Limiting Use, Disclosure, and Retention

Personal information is used or disclosed strictly for the identified purposes or as required by law. Closed client files are retained for the requisite number of years, in line with Law Society of Ontario guidance.​ After the retention period, records are securely destroyed.

6. Accuracy

The firm keeps personal information as accurate, complete, and up-to-date as is necessary for the purposes for which it is used. Clients are encouraged to advise the firm promptly of any changes.

7. Safeguards

Physical, organizational, and technological safeguards include locked cabinets, access-controlled cloud storage, multi-factor authentication, and at-rest and in-transit encryption.

8. Access and Correction

Clients have the right to access their personal information and request corrections if necessary. Requests for access or correction must be made in writing and will be responded to within a reasonable time frame, subject to any legal or ethical restrictions.

9. Communication Practices

Clients are advised to consider the security of the medium when communicating personal or confidential information. Encrypted communications are recommended for sensitive or detailed personal information.

10. Handling of Job Applicant Information

Personal information from job applicants is used exclusively for evaluating their applications during the hiring process. Once hired, the data of successful candidates is managed in accordance with AVIO Immigration’s internal privacy protocols, ensuring that it is stored securely, maintained accurately, and utilized solely for employment-related functions in full compliance with applicable privacy legislation.

11. Changes to the Privacy Policy

This Privacy Policy is reviewed and updated regularly in response to changes in legal or professional standards and practices. Clients are encouraged to review this policy periodically to stay informed about how personal information is being protected.
